Propane's source script describes a manual, basic CRM as an option for people using a lightweight setup. It is not a claim that a simple Notion table replaces every function of a dedicated coaching platform.
Separate the internal record from the client experience
An internal table might record the person's stage, the next action and the owner. A client-facing page has a different job: helping that individual find their instructions and resources.
Do not share the full internal table merely to give one client access to their page.
Build a small record structure
For a manual lead tracker, useful fields can include the contact, source, status, next action and follow-up date. Define statuses clearly so "interested", "client" and "closed" describe consistent states.
For client coordination, keep the start date and outstanding administrative tasks visible. Store sensitive coaching information only within an appropriate restricted arrangement.
Create a clear starting page
Give the client a short explanation of where to begin, links to the resources they need and the route for support. Keep it focused on the current service rather than filling it with every document the business has produced.
When duplicating a template, inspect what needs individual completion and remove any example information that should not be shared.
Verify permissions
Notion distinguishes invited access from broader workspace or web access. Check the page and its relevant parent structure before sharing. Use the minimum permission needed for the task and test what a recipient can actually access. See Notion's sharing and permissions guide for current controls.
Maintain the process
A manual CRM depends on someone updating it. Assign that responsibility and review overdue next actions. If missing updates become a repeated problem, assess whether the workflow or tool needs to change.
