How to define quality standards for online coaching

Quality standards turn a general promise of good online coaching into behaviours the team can deliver and review.

Quality standards turn a general promise of good online coaching into behaviours the team can deliver and review. Start with the parts of the service that most affect clarity, reliability and appropriate individual support.

Define the client experience

Write down what happens at onboarding, how clients submit information, how feedback arrives and where questions go. State the service boundaries and response expectations accurately.

A client should not have to learn the process by sending requests through several channels until someone replies.

Describe a useful response

Set expectations for clarity, relevance and the next action. A response should address the question and use the context needed for the decision.

Choose the format according to the task. A video, written note or call can each be useful; no single format is automatically best for every client and question.

Keep roles and escalation clear

Specify which decisions require a coach and what support staff can resolve through approved resources. Make the handover practical enough that people use it.

Avoid presenting an assistant's administrative response as specialist coaching.

Review real examples

Use an appropriate private review process to inspect a sample of delivery. Ask whether the answer was accurate, understandable, timely and consistent with the offer.

Remove identifying details when a general lesson is shared more widely.

Connect standards to capacity

If the team cannot meet the standard at the current workload, inspect staffing, scope and process. A written promise does not create capacity.

Improve repeated issues at their source, such as unclear onboarding instructions or a missing resource. Quality becomes more dependable when the process supports the standard rather than relying on every person remembering to try harder.
