How to forecast recurring income in a coaching business
A recurring-income forecast should explain how clients enter, continue and leave your coaching service.
A recurring-income forecast should explain how clients enter, continue and leave your coaching service. It is a model of assumptions, not a promise that every month will follow the same pattern.
Start with the existing client base
Record active paying clients, their actual rates and the expected payment dates. Keep introductory offers and ongoing subscriptions separate when they behave differently.
Use collected payments to check the model. A contracted amount and cash received are different measures.
Add client movement explicitly
For each period, show the starting client count, new clients, cancellations and the ending count. Account for any clients moving from an initial programme into ongoing support.
Avoid counting the same person twice when a front-end sale becomes a recurring subscription.
Use observed retention where possible
Look at cohorts that have had enough time to show what happens after joining. If the business is new, use clearly labelled scenarios rather than importing a retention percentage from another coach.
A low, central and high scenario can show which assumptions have the greatest effect. These are planning cases, not probabilities unless you have evidence to assign them.
Include costs and timing separately
Forecast advertising and delivery demands alongside income. A revenue forecast does not show profit or the cash available at every point in the month.
Record when money is expected to arrive and when major costs are due if those timing differences affect decisions.
Compare the model with reality
At the review point, note where actual results differed and why. Update the assumption that was wrong rather than silently overwriting the original forecast.
The model becomes useful when it improves decisions about capacity, spending and the next acquisition test. Keep it simple enough that you can maintain it consistently.
