A difficult coaching relationship needs a clear review of the issue, the service promise and the next appropriate action. Avoid labelling the client when the underlying problem may be unclear expectations, poor fit or a failure in delivery.

Describe the problem in observable terms

Record what happened: missed information, delayed responses, repeated disagreement about the service or another specific issue. Keep the record factual and private.

"The client is negative" is less useful than identifying the question or expectation that remains unresolved.

Check your side of the agreement

Was the support explained clearly before joining? Have you delivered what was promised? Is the client able to use the system and find the relevant information?

Correct a service failure before treating the situation as a problem with the person's attitude.

Have a clear conversation

Explain what you have observed, ask for the client's view and agree a practical next step. State what the service can provide and what is outside its scope.

Do not attempt to diagnose a mental health condition from a challenging interaction. Where a request requires support outside your competence, use an appropriate referral or escalation process.

Set workable expectations

If continuing makes sense, agree the communication route, responsibilities and review point. Make any changes to the service explicit rather than creating an informal promise that the business cannot maintain.

End appropriately when the fit is wrong

If the service is unsuitable, follow the relevant agreement and process for ending the relationship. Keep the explanation respectful and avoid using the private situation as public marketing material.

The aim is a clear and responsible outcome, whether that is a repaired working relationship or an orderly end to one that no longer fits.
